Do You Have Too Much To Do, Too Little Time To Do It In?

Dear Friend,

Nowadays we're all overwhelmed.  You've got too much on your plate and not enough time to do it all, too many things going on at once, and too many people pulling you in just too many different directions.

Your to-do list NEVER seems to get smaller, and instead, you just wind up shuffling items around from the top to the bottom, adding more and more every day, and if you're lucky -- getting to cross off one or two items a week.

I have a few thoughts on these things and I DO believe they will help you put some of this into perspective and give you some insight on that big old to-do list of yours.

First, if you're busy, and especially if you're an entrepreneur, face the fact that your to-do list will NEVER be completed, and your responsibilities aren't likely to shrink any time soon.  That's just part of being an entrepreneur, and I'm assuming that overall, the "pain" of all this responsibility and these lengthy lists, is much less than the pain of working for someone else and being told what to do by the man.

Second, I'd be willing to bet you're less comfortable with your inability to actually FINISH these tasks, than you are with the actual AMOUNT of things you need to get done.

Right?

You're missing that "closure" on each of these events you have going on, that seem like simultaneous multiple ticker-tapes running across the screen of your life, only you can't even see the numbers on these tapes, because they're moving so fast.

And nothing's worse than the feeling that comes at the end of the week, when you sit and think to yourself, "Sheesh, I didn't get a thing done this week."  This is simply not true.  You're just using the wrong measuring stick to make this decision.

You're sitting there looking at your to-do list, which probably isn't DRAMATICALLY any different on Friday afternoon, than it was on Monday morning.  But you see, your to-do list doesn't take into account all those 11th hour unexpected fires and new projects that came along during the week, that you DID get done.

Here's an idea a friend of mine gave me a while ago that helps me put things into a much better perspective -- maybe it will help you, too.

You get an Excel spreadsheet, and you put 4 columns across the top: To Do, Doing, Delegated, and Done.

Your first list is simply your regular "to do" list.  The doing and delegated columns are pretty much self-explanatory.  But it's this last DONE column you want to focus in on.

What you want to do is, write down every single thing you do during the week, and put it onto this "Done" column.  This will include things that got transferred over from the To Do column, and all the new things that unexpectedly came up.  After a while, I think you'll see you're actually a lot more productive than you're giving yourself credit for, and most important, you'll see that your to-do list shouldn't govern your life, it's just a tool you use to help you manage it and make it a little more organized.

Getting this in perspective makes feel a little more empowered and less uncomfortable.
